How Coorde handles your data
Coorde connects to your calendar and your team’s conversations, so you deserve a plain-English account of where your data goes and how we treat it. No jargon, no hidden clauses.

Where your data lives
Coorde’s application and database run on Convex, and our website runs on Framer. Both are hosted in the United States, which means your data is stored and processed there.
Because Coorde is a Czech company serving customers in the EU and beyond, any transfer of personal data outside the EU is covered by Standard Contractual Clauses with the providers involved. Data is encrypted in transit and at rest.
We’re transparent about this on purpose: your data is hosted in the US, not the EU. If EU data residency is a hard requirement for you, email privacy@coorde.ai and we’ll talk it through.
What we access, and why
Coorde only connects to what it needs to coordinate your team’s work:
Your Google Calendar (read and write). We read upcoming events to plan the work behind them, and we write back so deadlines and tasks land on your calendar.
Tasks, processes and team details you set up in Coorde, so we can assign and track work.
Messages exchanged through Coorde on WhatsApp, Slack or the web app, so the assistant can coordinate and follow up.
We use this to run the service you’re paying for. Nothing more.
Improving the product — anonymized only
We study how teams work with Coorde — which processes they run and how coordination flows — to make the product better. For this, we use anonymized data only: information that can’t be traced back to you, your team, or your business.
We do not train AI models on your data, and identifiable customer content is never sold or shared for advertising.
Customer support
When you ask us for help, a member of the Coorde team may need to access your actual data to understand and fix the problem. This access is limited to what’s needed, restricted to authorized staff, and everyone on the team is bound by confidentiality.
The AI behind Coorde
Coorde currently runs on OpenAI models through their API. Under OpenAI’s API terms, your inputs are not used to train OpenAI’s models. OpenAI may retain API data for a short period to monitor for abuse, then deletes it.
Our architecture lets us switch AI providers if we ever need to, so we’re never locked to a single vendor.

How long we keep your data
Your account and content — kept while your subscription is active. After you cancel, we keep it for 30 days so you can come back, then delete or anonymize it.
Anonymized insights are kept indefinitely because they’re no longer personal data. Support conversations are kept for up to 2 years; invoices and accounting records for 10 years, as Czech law requires; backups are retained for 7 days.
Your rights
Coorde is built and operated in line with the GDPR. You can ask us to access, correct, export or delete your personal data, and object to certain processing. For business customers, Coorde acts as a data processor for the personal data of your team members, and we offer a Data Processing Agreement on request.
